Working with Service Accounts

Each service account requires a term seat-based Web Services module license. Administrators can add, modify and delete service accounts.

Note:  The role purview associated with the Web Services account determines the actions that can be performed by the account.

Service Accounts page contents

The Service Accounts Page includes these fields:

  • User ID. Type the user ID you want to associate with the new service account.

  • Actor's Password. Type your UKG GovTA password.

  • Password. Type the password for the new service account.

  • Retype Password. Re-enter the password for the new service account.

  • Active. By default, the Active check box is enabled for new service accounts.

  • Organization. Optionally, click Find Org to assign the service account to an organization.

About Service Account passwords and expirations

By default, the Service Account password expires after 30 days. The default value is specified in the Password Expiration Check Rule located in Common Set Up > Rule Management > Authentication Validation. Administrators can change the default. As an alternative, Administrators can enable the Exclude Service Account option, also located in the Password Expiration Check Rule. For details, refer to About authentication validation rules.

The application sends the Administrator notifications related to Service Account passwords.

  • The notification "Service Account Password Expiring" identifies how many days are left before the password expires. By default, the notification is sent 14 days prior to the expiration. (The default is specified in the Password Expiration Check Rule.)

  • The notification "Service Account Password Expired" alerts the Administrator that the password has expired.

If the Exclude Service Account option is specified as Yes, the application does not send notifications.

Adding service accounts

To add a service account, take these steps:

  1. Click System Set Up > Service Account Management on the Administrator main menu. The Service Account Management page opens.

  2. Click Add Service Account. The Service Account Page <for User> opens.

  3. Type the service account user ID in the User ID text box.

  4. Type your password in the Actor's Password text box.

  5. Type the service account password in the Password text box and type it again in the Retype Password text box.

  6. Optionally, click Find Org. The Organization Management page opens. Click Select on the row that identifies the organization. You return to the previous page and the Organization field populates with your selection.

  7. Click Save. A success message displays.
