About standard reports

This topic explains how to work with standard reports. The term "standard reports" refers to reports that are available in the core UKG GovTA product. These reports are included with the UKG GovTA license. Depending on your agency's implementation, some standard reports may not be available.

Note:  If your agency implements agency-specific reports in an extension library, the reports will be listed on the Standard Reports page. Strictly speaking, they are not standard reports.

Several tasks are common to most standard reports. These tasks include selecting reports, entering the date range, and specifying report output options.

Selecting a report

The Standard Reports page includes a table with these columns:

  • Name link. The name of the report.

  • Description. A brief description of the report.

To select a report to work with, click the report Name link. The report page opens. The report name is located at the top of the page followed by the report parameters. Parameters are options that let you specify date ranges, users, organizations, and other details.

Specifying the date range

Many reports include the From PP and To PP date range parameters. The date range is restricted to 26 pay periods or one year. If the dates exceed the range, an alert displays: ALERT: This report can be run in 26 pay period increments. Adjust the dates to continue.

Selecting the output format

For most reports, the default output format is HTML. The HTML output is the most accessible option. In addition to HTML, the other output options include PDF, XLS and CSV.

Selecting the output destination

The output destination lets you choose where to send the report. Depending on the report, you may be able to select one of the following destinations:

  • To the screen. Choose this option to display the report data on the screen.

    Note:  This option only displays if "HTML" is specified as the output format.

  • To a file. Most reports give you the option to save the output to an HTML, PDF, XLS, or CSV file.

  • To 'Saved and Scheduled Reports'. This option runs the report in the background so that you can continue working on other tasks. When you are ready, you can go to the Saved and Scheduled Reports page to open, download, e-mail, delete, or rerun the report.

  • To 'Saved and Scheduled Reports' and Emailed to Me. This option runs the report in the background, lists the report on the Saved and Scheduled Reports page, and e-mails the report to the e-mail address designated in your employee profile.

Saved and Scheduled Reports page contents

If you select To 'Saved and Scheduled Reports' as the report output destination and want to check the status or download the report, click Saved and Scheduled Reports near the bottom of the Standard Reports page. The Saved and Scheduled Reports page opens and lists these details:

  • Name. Click the Name link to open the Report Schedule page.

  • Report Name. The name of the report.

  • Submitted. The date and time that the report was initiated.

  • Completed. The date and time that the report finished.

  • Next Scheduled Date. If a schedule exists, the next date the report is scheduled to run.

  • Format. The output file format that was specified by the user (for example, PDF.)

  • Status. The status of the report (for example, Pending.)

  • Pages. The number of pages included in the report.

  • Size. The size of the file, in bytes.

  • Message. System messages, such as errors.

  • Download. If the report output was saved to a file, use this option to download the file.

  • ReRun. Use this option to run the report again right now.

The page also includes options for deleting, e-mailing the report output, refreshing the page, and canceling to go back to the Reports page.
