Testing ad hoc reports

When you finish adding a new ad hoc report or modifying an existing one, it’s a good idea to test it. To test an ad hoc report, take these steps:

  1. Click Reports > Reports Module on the main menu. The Reports Module page opens.

  2. Click the Name link on the row that contains the report. The Adhoc Report page opens.

  3. Click Save and Run Report near the bottom of the page. The Adhoc Report > Report Parameters page opens. Depending on the report, the parameters may vary.

  4. Optionally, type a title in the Report Header text box.

  5. Click the Adhoc Report drop-down list and select the report.

  6. Select a role from the Role drop-down list. Only roles to which you have been assigned are available.

  7. Click the Include Delegates check box to include employee data for your delegated roles. Clear the check box to only include your direct role assignments.

  8. Depending on the report, you may be able to click Pick Value for pay period data, users, or other data.

Running reports

Depending on your implementation, the Run Off Hours and/or Priority Run options may be available.

  • Enable the Run Off Hours check box if you want to run the report during off-peak hours. This reduces performance demands on the system during regular business hours.

  • Enable the Priority Run check box if you want to give the report a higher priority over reports that are not marked as a priority.

Use one of the following methods to run the report.

  • To run the report now and display the output on your screen, click Run Report. The output displays near the top of the page. If the system doesn't find any records that match your criteria, the report table cells are blank or the message "No Records Available" displays.

  • To save the report output to a file now, click the Output Format list and select HTML, PDF, XLS or CSV. If the Output Format is HTML, click the Output Destination list and select To a File; otherwise, if you selected PDF, XLS or CSV, the Output Destination automatically changes to "To a File." Click Run Report. When the browser responds, open or download the file.

    • Note: If a large amount of data is involved, a message displays near the top of the page: "The export you have requested exceeds the maximum number of records for on-line processing. You may elect to run this export in the background. Upon completion of the export, you will receive notification and the export will be made available on the Saved and Scheduled Reports page. Please select a name for this export, or cancel submission." To continue, click Submit. A success message displays. To monitor the report progress, click Reports > Saved and Schedule Reports from the main menu. When the Status is Complete, click Download on the row that identifies the report.   • To run the report in the background, click the Output Destination list and select To "Saved and Scheduled Reports" or To "Saved and Scheduled Reports" and Emailed To Me. For details, refer to About Saved and Scheduled Reports.

  • To save the report parameters and schedule the report, refer to Working with the Report Schedule tool. The tool is available with the Reports Module.
